1. Purpose & Scope

This Privacy Policy explains how Fairmacs Multiline Singapore Pte Ltd (“Fairmacs”, “we”, “us”) collects, uses, discloses, and protects personal data on https://fairmacs.com.sg/ and in connection with enquiries about our logistics and related services. It applies to individuals in Singapore and to personal data collected in Singapore, in accordance with the Personal Data Protection Act 2012 (“PDPA”).

2. Personal Data We Collect

We may collect the following categories of personal data:

  • Identification & contact data: name, company, job title, email, phone number, mailing address.
  • Business & shipment data: shipment origin/destination, incoterms, commodity details, HS codes, packaging type, container number, booking references, and special handling notes.
  • Dangerous goods & compliance data (where applicable): UN number, class/division, packing group, SDS/MSDS, emergency contact details, permits/licences, and shipper’s DG declaration.
  • Customs & regulatory data: declarations, invoices, packing lists, certificates of origin, licences/permits, screening results (e.g., denied?party/sanctions checks), and related correspondence.
  • Insurance & claims data: insurance arrangements, survey/inspection reports, photos of cargo/packaging, incident reports.
  • KYC/AML data (B2B): information about authorised signatories, directorship/shareholding information (we avoid collecting NRIC/FIN unless required by law).
  • Interaction data: messages, enquiries, and information you submit through forms (e.g., Get a Quote), emails, or phone calls.
  • Technical data: IP address, device/browser type, pages viewed, referring URLs, cookies and similar technologies (see Cookies below).

If you provide personal data of another individual (e.g., colleague or consignee), you represent that you have obtained their consent or are otherwise authorised under PDPA to provide their data to us for the stated purposes.

3. How We Use Your Personal Data (Purposes)

We may collect, use, and disclose personal data for the following purposes:

  • Pre?sales & customer service: responding to enquiries, providing quotations, and account setup.
  • Operations: performing and managing services (bookings, carrier coordination, port/terminal handling, warehousing, heavy/OOG handling, route surveys, lashing/securing arrangements, and delivery).
  • Customs & regulatory: preparing and lodging customs declarations, permits, certificates, and responding to inspections/audits by authorities.
  • Dangerous goods compliance: validating DG information, arranging compliant packaging/labels, filing DG documentation, and emergency contact use in incident response.
  • Insurance & claims: arranging marine cargo insurance (if requested), handling claims, coordinating survey/inspection and loss mitigation.
  • Risk, security & sanctions: KYC/AML checks, denied?party screenings, fraud prevention, and complying with sanctions/export controls.
  • IT & Site: improving and maintaining our Site, systems, and security (including analytics and log retention), and troubleshooting service quality.
  • Legal & regulatory compliance: meeting record?keeping and reporting obligations, responding to lawful requests.
  • Communications & marketing: sending service notices and, where permitted under PDPA/DNC, relevant marketing (opt?out available).
  • Other purposes disclosed at the time of collection or reasonably related to the above.

4. Consent & Withdrawal

Consent & Withdrawal Where consent is required, we will obtain it before collecting, using, or disclosing personal data. You may withdraw consent at any time by contacting us (see Contact Us). We will process your request within a reasonable time and inform you of any consequences (e.g., if we can no longer provide certain services).

5. Access & Correction

You may request access to or correction of your personal data in our possession or under our control. Please email us with sufficient detail to identify you and the data requested. We may charge a reasonable fee permitted by PDPA for processing access requests and will respond within a reasonable time.

6. Accuracy

We take reasonable steps to ensure personal data is accurate and complete. Please keep us updated if your details change.

7. Protection (Security)

We implement reasonable administrative, physical, and technical safeguards to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, disposal, or similar risks. Examples include access controls, encryption in transit where appropriate, and secure disposal policies.

8. Retention

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by applicable laws. When no longer needed, we will anonymise or securely delete the data.

9. Disclosure to Third Parties

We may disclose personal data to the following, strictly on a need?to?know basis and under appropriate safeguards:

  • Group companies and affiliates involved in service delivery.
  • Carriers/NVOCCs, airlines, shipping lines, consolidators, terminal and depot operators, port authorities, surveyors, and stevedores.
  • Customs brokers and regulatory agencies (e.g., Singapore Customs and foreign customs/port/transport authorities) for filings, permits, and inspections.
  • Service providers/data intermediaries: IT hosting, cloud/SaaS (including email and document management), analytics, cybersecurity, printing, archiving, and customer support.
  • Insurance ecosystem: insurers, brokers, loss adjusters/surveyors, and legal advisers for claims handling.
  • Financial institutions and auditors for payments, billing, and compliance.
  • Law enforcement and regulators where required by law.

We require third parties who process personal data on our behalf to protect it in accordance with the PDPA and our instructions.

10. Overseas Transfers

Given the global nature of logistics, personal data may be transferred to, stored in, or accessed from countries outside Singapore (for example, where carriers, port authorities, and service providers operate, or where our cloud systems are hosted). When we transfer personal data overseas, we will ensure that the recipient is bound to provide a standard of protection comparable to the PDPA, or rely on other permitted transfer mechanisms under law.

11. Data Breach Notification

Data Breach Notification We maintain procedures to assess and respond to personal data breaches. Where required under the PDPA, we will notify the Personal Data Protection Commission (PDPC) and affected individuals as soon as practicable.

12. Marketing & Do Not Call (DNC)

We will not send marketing messages to a Singapore telephone number registered on the DNC Registry unless permitted by law (e.g., with clear and unambiguous consent, or where an exemption applies). You may opt out of marketing emails/SMS at any time via the unsubscribe instructions or by contacting us.

13. Cookies & Similar Technologies

We use cookies and similar technologies to operate and improve the Site (e.g., remembering preferences, analytics). You can control cookies through your browser settings; however, disabling cookies may affect Site functionality.

14. Children’s Privacy

The Site is not intended for children under 13. We do not knowingly collect personal data from children. If you believe a child has provided personal data to us, contact us to delete it.

15. Third?Party Sites

Our Site may contain links to third?party websites. Their privacy practices are not governed by this Policy; please review their policies.

16. Data Portability (Status)

The PDPA includes a Data Portability obligation that will take effect when implementing regulations are issued. When in force, we will provide a means for eligible individuals to request transmission of applicable data to another organisation, subject to PDPA conditions and exceptions.

17. Updates to this Policy

We may update this Policy from time to time. Changes will be posted on this page with a new effective date.
